Description: An enthusiastic, creative, and organized individual who will be responsible for providing support to the Development Department on diverse projects and administrative activities. Must be well-organized and a multitasker. The assistant supports fellow development team members, playing a crucial role in the success of multiple events and projects.
This position is 30 hours part-time and non-exempt; some evenings and weekends are required, and reports to the Vice President of Development. Salary range is from $32,000 to $35,000 per year.
Key Responsibilities
- Maintain a working knowledge of the Special Olympics New Jersey mission, all programs, activities, and events, and is familiar with key personnel, Board of Trustees, and Partners/Sponsors of SONJ.
- Ability to multi-task and prioritize a wide range of job assignments including, but not limited to Desktop Publishing, database management, standard business correspondence, especially mail merges with data contained in other programs (specifically Microsoft Word and Excel, RSVP management, event registration, raffle item and product solicitation, meeting scheduling, inventory and maintenance of Department’s files and supplies, pre and post sponsor solicitation and thank you acknowledgment letters and event signage.
- Liaise with the Communications Department on updates to the Development Department's website pages and microsites (utilizing WordPress), including updates to partner listings, website pages, and the fundraising calendar.
- Liaise with NJ Legalized Games Commission, various municipalities, corporate sponsors’ internal management, and others (as needed) to obtain appropriate licenses to conduct raffles, bingos, and/or permits for special event fundraisers; follow-up with required back-end report of operations to the state; maintain all files and unsold ticket inventory as required by the state.
- Assist with other organization events and projects, as assigned and needed.
Qualifications
- High school diploma required.
- Must be organized and capable of managing multiple projects.
- Must be able to communicate fluently and clearly in English (strong oral and written skills)
- Working knowledge of MS Office Suite, including Word, Excel, and Outlook, required; and familiarity with graphics software such as InDesign, Photoshop, and Illustrator highly desired.
- Experience with Classy and Salesforce is highly desired.
- Prior experience with Special Olympics is beneficial

Reports To: Director of Program
Key Accountabilities:
- Assist Program Department in event planning and preparation of seasonal statewide competitions, to include leagues, sectionals, and state competitions
- Event execution of seasonal competitions including, but not limited to, equipment and venue management, and administrative support
- Research locations, equipment, and event-related materials as needed
- Maintain contacts and sport reporting databases, including coach and chaperone forms, and utilizing the Games Management System (GMS) database
As a Program intern, you will gain the following experience:
- Project management
- Event planning and management

Qualifications:
- Must be a college/university student; Sports Administration or similar major preferred
- Must receive college credit for the internship
- Good oral and written communication skills
- Strong interpersonal skills
- Ability to work independently with scheduled regular contact with Director of Program
- Technology skills including Excel, Microsoft Word, PowerPoint, and the ability to learn Games Management System (GMS)
- Able to handle multiple tasks simultaneously
- Ability to travel to events throughout the state

Young Athletes is an inclusive sports play program that supports children ages 2-7 with ID (Intellectual Disabilities). The Young Athletes Program Intern supports a variety of initiatives including program planning and execution.
Reports To: Young Athletes Manager
Key Accountabilities:
- Assist Program Department in event planning and preparation of seasonal statewide community programs, maintaining home program requests, and state competitions implementing young athletes
- Event execution of seasonal programs including, but not limited to, equipment and venue management, and administrative support
- Research locations, equipment, and event related materials as needed
- Maintain contacts and program reporting databases, including coach and volunteer forms, and utilizing the Games Management System (GMS) database
As a Young Athletes Program intern, you will gain the following experience:
- Project management
- Event planning and management
- Analytical thinking
- Nonprofit management
- Operating in a business environment
Qualifications:
- Must be a college/university student; Occupational Therapy, Recreational Therapy, Special Education and early childhood or similar major preferred
- Must receive college credit for internship
- Good oral and written communication skills
- Strong interpersonal, and multi-tasking skills
- Ability to work independently with consistent contact with Young Athletes Manager
- Technology skills including Excel, Microsoft Word, Power Point and the ability to learn Games Management System (GMS)
- Ability to travel to programs throughout the state
